Role Description

This role involves working as an Oncology Data Specialist within the Data Abstraction - Tech Enabled Managed Services (TEMS) team. The following functions describe the essential duties of this role:

  • Aligns with current department goals and expectations.
  • Aligns all work and resource management with Health Catalyst’s mission, cultural attributes, and operating principles.
  • Assists in assuring the provision of accurate and reliable data acquisition and analysis to support oncology service lines and administrative decision making.
  • Assists in assuring accurate reporting of all required information to the state’s Central Cancer Registry.
  • Performs data collection, coding, and abstracting functions in accordance with established guidelines and licensure requirements.
  • Maintains audit and quality assurance processes for case findings, abstracting, coding, follow-up, data processing procedures, and data analysis and reports.
  • Manages follow-up surveys and updates information on cancer patients in the registry through contact with physicians, clinics, hospital records, patients, and families.
  • Answers requests for registry data; extracts data from assigned company facility database and generates reports as needed.
  • Oversees processes or directly submits data as required to the state law and accrediting agencies.
  • Oversees compiling and preparing all required and requested reports, special studies and surveys required or assigned by the client, state, or accrediting agencies.
  • Maintains a current knowledge of cancer treatment, research, and Cancer Registry requirements and acts as a knowledge resource to team members.
  • Provides guidance in interpreting the COC Cancer Program Standards and evaluation compliance.
  • Manages and/or conducts hiring and training of new team members.
  • Supports team members in their professional growth opportunities and continually focuses on improving team member engagement.
  • Develops, coordinates, and enforces systems, policies, procedures.
  • Creates productivity standards for their team and takes a data-driven approach to understanding their team’s average cost/case.
  • Clearly communicates and monitors abstraction best practices to reduce variation in the average time/case.
  • Coaches, counsels, and disciplines team members in accordance with established policies and procedures.
  • Directs the workflow of the department staff by providing leadership assistance to achieve optimal operational, financial, and customer service outcomes.
  • Completion of continuing education required to meet program standards/maintain Oncology Data Specialist (ODS) certification.

  • Knowledge of or ability to learn how to navigate various abstraction databases and data collection tools.

Requirements

  • Oncology Data Specialist (ODS), formerly Certified Tumor Registrars (CTR) certification.
  • Requires five (5) or more years of related work experience in cancer registry and/or experience in an oncology data management position.
  • Clinical Data Abstraction experience.

Information Security and Compliance Responsibilities

  • Maintain compliance with training directives required by the organization pertaining to Information Security, Acceptable Use Policy, and HIPAA Privacy and Security.
  • Adhere to and comply with the organization's Acceptable Use Policy.
  • Safeguard information system assets by identifying and reporting potential and actual security events to the organization's Security and Compliance Officers.
